About the Privacy Policy

Doka Deals values your privacy highly. We only process data that is necessary for (improving) our services and handle the information we collect about you and your use of our services with care. We never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the website and the services made available on it by Doka Deals. The effective date of these terms is 01/12/2022. With the publication of a new version, the validity of all previous versions expires. This privacy policy explains what data we collect about you, what it is used for, and with whom and under what conditions it may be shared with third parties. We also explain how we store your data, how we protect it against misuse, and what rights you have regarding the personal data you provide us.

Below, you can read how we process your data, where it is (or may be) stored, what security measures we use, and who has access to the data.


Web Store Software

Shopify
Our online store is built using Shopify. The personal data you provide in the context of our services is shared with this party. Shopify has access to your data to provide technical support but will never use your data for other purposes. Shopify is contractually obligated to take appropriate security measures, including SSL encryption and a strong password policy. Shopify is a certified processor of credit card information. They use cookies to collect technical information related to your use of their software but do not collect or store personal data. Shopify may share collected (non-personal) data within its corporate group to improve services. The EU/US Privacy Shield applies—your data may be processed in the United States.


Email and Mailing Lists

MailChimp
We use MailChimp for our email newsletters. MailChimp will never use your name or email for its own purposes. At the bottom of each automated email is an ‘unsubscribe’ link. Your personal data is securely stored by MailChimp, which uses cookies and tracking technologies to analyze whether emails are opened and read. MailChimp may use this data to improve services and may share information with third parties in that context.

Microsoft365
We use Microsoft365 for our regular business email communications. Microsoft has implemented technical and organizational measures to prevent misuse, loss, or corruption of your data. Microsoft does not have access to our email inbox and all communication is treated confidentially.


Payment Processors

Shopify Payments
We use Shopify Payments to process payments in our web store. Shopify Payments processes your name, address, and payment data (e.g., bank or credit card number). They have implemented adequate technical and organizational security measures and may share anonymized data with third parties to improve their service. All the above-mentioned protections also apply to third parties Shopify Payments uses. Data is not stored longer than legally permitted.


Shipping and Logistics

BPost / DPD / Mondial Relay
To deliver your order, we use BPost, DPD, and Mondial Relay. Your name, address, and city are shared with these parties solely for delivery purposes. If they use subcontractors, your data may be shared with them as well.


Accounting and Invoicing

We use Shopify in part for bookkeeping. We share your name, address, and order details for invoicing. Your data is transmitted and stored securely. Shopify is bound by confidentiality and will not use your data for purposes other than those described above.


Purpose of Data Processing

General Purpose
We use your data solely for delivering our services. Data is not used for marketing unless explicitly requested by you. We only share your data with third parties if required by accounting or legal obligations. All third parties are bound by confidentiality agreements or legal obligations.

Automatically Collected Data
Automatically collected data (e.g., IP address, browser type, OS) is used to improve our services and does not qualify as personal data.

Legal & Fiscal Obligations
In some cases, Doka Deals may be required by law to share your data with government authorities for tax or criminal investigations. Where legally possible, we will resist such requests.


Data Retention

We retain your data as long as you are our customer. If you indicate that you no longer wish to use our services, we will treat this as a deletion request. In compliance with administrative obligations, we retain invoices and personal data for the legally required term. Employee access to your profile and documents is revoked upon deletion.


Your Rights

Under Belgian and EU law, you have specific rights regarding your personal data processed by or on behalf of us:

  • Right of Access – You may request to view your data. We will respond within 30 days.

  • Right to Rectification – You may request that we correct your data.

  • Right to Restriction – You may request a restriction of data processing.

  • Right to Data Portability – You may request your data in a machine-readable format to transfer to another party.

  • Right to Object – You may object to data processing. If valid, we will stop processing your data.

In general, we respond to such requests via the email address already known to us. If you prefer another communication method, we may ask for verification.

You also have the right to lodge a complaint with the Data Protection Authority if you believe your data is being misused.
